Facilities

The Facilities section is your management hub for sports facilities (courts, fields, etc.) within each arena in your organization. Here you can create new facilities, upload photos, manage facility information, and view a complete history of all changes.

What are Facilities?

Facilities are sports objects (tennis courts, basketball courts, volleyball fields, etc.) managed by your organization within each arena. Each facility includes:

ComponentDescription
Basic InformationName, description, sport type, and surface
PhotosGallery images and fullscreen viewer
AmenitiesAvailable services (parking, locker room, etc.)
HistoryComplete log of all changes and edits

Viewing Facilities

Facility List

All facilities are organized by arena in expandable accordions. Each facility appears as a card and displays:

  • Facility Name — the name of the sports object
  • Photos — the first image from the gallery
  • Sport and Surface — the type of sport and surface material (e.g., “Tennis • Grass”)
  • Amenities — visual icons for available services
  • Status — one of five statuses (see Managing Facility Status below)
  • Parser status — the color of the Run history button (see Parser Status below)

Filtering Facilities

Use filters to find the facilities you need:

Filter by Sport

Click the Filter by Sport field and select one or multiple sports. Cards will instantly update to show only facilities of the selected sports.

Filter by Status

Click the Filter by Status field and check the statuses you want:

  • Full booking — we handle all bookings
  • External schedule — the schedule is kept on an external site, and booking happens there
  • Price only — we only know the price
  • Moderation — newly created facility awaiting approval
  • Archived — closed facility with data preserved

By default, all statuses except Archived are shown.

Show Only Parser Errors

Click the Parser errors (N) chip next to the filters to show only facilities whose last run in Run history failed. N is the number of such facilities among those shown with your sport and status filters. The chip is red when N is greater than 0 and grey when N is 0.

The number is hidden while the parser status of any facility is still loading or unknown. In that case the chip turns yellow with a warning icon. It means the status could not be confirmed for every facility, so the count would be incomplete. Facilities already known to have a failed last run stay visible in the list even while other statuses are missing.

When the chip is active, it looks filled. Arenas without matching facilities are hidden, and arenas with them open automatically. If no facility matches, the list shows one of these messages:

  • “No facilities with a failed last run” — only when the status of every facility is known.
  • “Parser status unavailable: can’t confirm there are no errors” — when some statuses are unknown. An empty list proves nothing in this case.

Hover over the chip (or long-press it on a touch screen) to see what counts as a failure. For why a red facility can stay red after a later successful run, see Parser Status. Click the chip again to show all facilities.

Applying Filters

Selected filters apply instantly. You can combine sport, status, and parser errors filters at the same time.

Parser Status

If a facility gets its schedule from an external site through the parser, its card shows a Run history button (clock with bolt icon). Its color shows the parser state:

ColorMeaningTooltip on hover
Green (check-circle icon)The parser has completed a successful run and the latest log entry is not an errorRun history: Updated, with how long ago (e.g., “Run history: Updated 5 minutes ago”)
Red (x-circle icon)The latest recorded entry is an error; the schedule may be out of dateRun history: Last run failed
Same color as the other card buttons, dashed-circle iconThe parser has not run yetRun history: Has not run yet
Same color as the other card buttons, hourglass iconThe status is still loadingRun history: Checking status
Yellow (question-mark icon)The status is unknown: the status request failed, there is no network, or the facility list did not load. This is not a run outcomeParser status unavailable: can’t confirm there are no errors

Statuses are requested for facilities in batches of 200. If one batch fails, the facilities in that batch show the yellow unknown state while the other facilities show their real status.

Click the Run history button to open the log. It shows sync events (slots added, updated, or closed) and errors with their messages.

Successful runs appear in the log only if they changed slots; failed runs are always recorded. Log entries are kept for 30 days. A red button can be a false alarm: a successful run that changed no slots is not logged, so an earlier failure stays the latest entry until a later run that changes slots is recorded. Open the log to see the error message and its date.

The Run history button appears only for facilities with parsing turned on. To set up parsing, see Sport Parsing.

Fullscreen Photo Viewer

One of the most convenient ways to explore a facility is to open its fullscreen photo viewer.

Opening the Viewer

Find the Facility Card

On the Facilities page, expand the arena you need and locate the facility card in the list.

Click the Photo

Click on the photo (preview) in the facility card. The fullscreen viewer will open.

Viewer Interface

When you open the fullscreen photo viewer, you’ll see:

ElementPurpose
Fullscreen ImageCurrent photo in high quality, fills the entire screen
Blurred PreviewWhile the photo loads, a blurred version shows as a loading indicator

Photo CounterBottom right shows current photo number (e.g., “3 / 12”)
Control ButtonsThree buttons in the top right: Details, History, Edit. For facilities with parsing turned on, a fourth button: Run history, which opens the parser run log like the card button. Its color is shown only on the card
Close ButtonX button in the top left to exit the viewer

You can browse through photos in several ways:

On-Screen Arrows

Navigation buttons appear at the bottom left:

  • Left arrow — go to previous photo
  • Right arrow — go to next photo

If you’re on the first photo, the left arrow is disabled. If you’re on the last photo, the right arrow is disabled.

Viewer Buttons

Three buttons with icons and tooltips are located in the top right corner. For facilities with parsing turned on (see Parser Status), a fourth button appears below them:

Details Button

Click the Details button (info icon) to quickly view basic facility information:

  • Name
  • Status (see Managing Facility Status)
  • Sport type and surface

Information displays as a semi-transparent block overlaid on the image.

History Button

Click the History button (history icon) to open the changes sidebar. You’ll see:

  • All changes made to this facility
  • Who and when made each change
  • Exact edit timestamps

History is useful for tracking how facility data has evolved.

Edit Button

Click the Edit button (pencil icon) to open the full facility editor. The fullscreen viewer closes and you can:

  • Change basic information
  • Upload new photos
  • Edit sport type and surface
  • Add amenities

Run History Button

Click it to open the parser run log, the same as the Run history button on the card.

Closing the Viewer

There are three ways to exit the fullscreen viewer and return to the facility list:

Close Button (X)

The close button (×) is in the top left corner. Click it to exit.

If you opened History or Edit from the viewer, they close when you return to the photo viewer.

Creating a New Facility

Expand the Required Arena

On the Facilities main page, expand the accordion for the arena where you want to create a facility.

Click “Add Facility” Button

In the expanded arena list, click the Add Facility button (plus icon) or click the Add card at the end of the arena’s facility list.

Fill Basic Information

In the form that opens, enter:

  • Name — the sports facility name
  • Description — brief description (optional)
  • Sport — select a sport from the list or add a new one
  • Surface — select the surface material from the list

Add facility photos for the gallery:

  • Click Add Photo
  • Select images from your device (JPG, PNG)
  • Drag photos to reorder them in the gallery
  • Delete unwanted photos using the delete button

Select Amenities

Check which services are available at this facility (parking, locker room, cafe, etc.).

Click “Save”

After filling all required fields, click Save. The new facility will be created and added to the list.

A newly created facility gets the Moderation status and is visible only to organization administrators. After review, the status may change to Full booking, External schedule, or Price only.

Editing a Facility

Open the Facility Card

Find the facility you need in the list and click the Edit button on its card.

Or Open from Fullscreen Viewer

Open the fullscreen photo viewer and click the Edit button in the top right corner.

Click Save to apply all changes. If you have unsaved changes in multiple facilities, you can save them all at once with the Save (N) button, where N is the number of unsaved changes.

When editing, a facility may be sent for re-moderation depending on the scope of changes. Monitor the status after saving.

Managing Facility Amenities

Amenities are additional services available at a facility: parking, locker room, cafe, showers, etc. An important feature: the list of available amenities depends on the selected sport type.

How Amenities Work

Amenities for each facility are determined based on the sport type. This means different sports can offer different sets of amenities.

For example:

  • Tennis might offer: parking, locker room, cooling towels, cafe
  • Basketball might offer: parking, locker room, bleachers, video broadcast
  • Swimming might offer: parking, locker room, showers, hair dryer

Selecting Amenities When Creating a Facility

When you create a new facility, amenities become available only after selecting a sport type.

Select Sport Type

In the facility creation form, first select the sport type from the dropdown. Until you do, the “Amenities” field will be inactive (unavailable).

Wait for Amenities List to Load

After selecting a sport, the system automatically loads the list of amenities available for that sport. This happens instantly within milliseconds.

Check the Amenities You Want

In the expandable Amenities section, you’ll see checkboxes for all available services for the selected sport. Check the ones that are available at your facility.

Save the Facility

After filling in all information, click Save. The selected amenities will be linked to the facility.

Changing Sport Type

If you already created a facility and then decide to change the sport type, the system automatically:

  1. Loads the new list of amenities for the selected sport
  2. Removes selected amenities that are incompatible with the new sport
  3. Shows a notification with information about which amenities were unchecked

Important: If you selected certain amenities for one sport and then change to a different sport, amenities that are incompatible with the new sport will be automatically unchecked. You’ll see a notification confirming this action.

Example:

  1. You created a facility for Tennis and checked: parking, locker room, and cafe
  2. You then change the sport to Volleyball
  3. The system loads the new set of amenities for volleyball
  4. Cafe is incompatible with volleyball, so it’s automatically unchecked
  5. You see a notification: “1 amenity was removed when changing sport: Cafe”
  6. Parking and locker room remain checked (if they’re compatible with volleyball)

Editing Amenities for an Existing Facility

Open the Editor

Find the facility you need and click the Edit button.

Expand the “Amenities” Section

Find the Amenities section in the form and click on it to expand the accordion.

Modify Your Amenity Selection

You can:

  • Check additional amenities — if you want to add new services
  • Uncheck amenities — if a service is no longer available

Available amenities correspond to the current sport type of the facility.

Save

Click Save to apply your changes.

Complete List of Available Amenities

The complete list of amenities depends on each specific sport and is managed by the system administrator. Examples of typical amenities:

AmenityApplicability
ParkingMost sports
Locker RoomMost sports
ShowersWater sports, some contact sports
Cafe/Snack BarVarious sports
BleachersSpectator sports
Video BroadcastSpectator sports
Cooling TowelsTennis, other active sports
Seating AreaVarious sports

Managing Facility Status

Each facility has one of five statuses. The first three are published: users can see them. The last two are not.

StatusDescriptionBooking
Full bookingWe handle all bookings. Published facility, visible to all usersWe sell time slots and handle refunds here
External schedulePublished facility whose schedule is mirrored from an external booking siteBooking happens on the external site
Price onlyPublished facility where we only know the priceNo schedule, so no booking here
ModerationNew or edited facility awaiting review. Visible only to administratorsNot published yet
ArchivedClosed facility. Data is preserved but hidden from usersUnavailable for booking

To change status, open the facility editor and select a new status from the dropdown (if you have permission). The dropdown lists all five statuses.

Change History

Every facility maintains a complete log of all changes. To view history:

Open History from Viewer

In the fullscreen photo viewer, click the History button.

Or Open from Card

On the facility card in the list, click the History button (clock icon). Do not confuse it with the Run history button (clock with bolt icon), which shows parser runs (see Parser Status).

View Changes

In the sidebar panel you’ll see:

  • Timeline of changes
  • Update Time of each change
  • Author of the change (who edited)
  • Description of what changed

Export History to File

If you need to save the change history to a file (for example, for a report or archive), you can export it:

  1. In the history sidebar at the top, click the Export button
  2. A dialog box with export settings will open
  3. Specify the number of rows to export (from 1 to 10,000; default: 1,000)
  4. Only the history records for this facility will be exported
  5. Click Export

The file will download in CSV format, which you can open in Excel or another spreadsheet application. The file has four columns: Update Time, Event, Author, and Details.

If the history holds more records than the number of rows you chose, the file contains only that many of the newest records, and a warning appears: “Exported N of M rows”, where N is the number of rows in the file and M is the total number of records.

The Export button appears only if the history contains data (not just the initial state). Row order in the file is determined by the server.

History is useful for auditing and ensuring data quality. You can always track who changed what and when.

  3. Type the facility name in the confirmation field
  4. Click Delete Facility again

To bring an archived facility back, open its editor and select a new status from the Status dropdown.

How do I copy a facility?

  1. On the facility card, click the Copy button (copy icon)
  2. In the opened editor, all facility data will be copied, but the name will be changed to “{Name} (Copy)”

What gets copied:

  • Basic Information — name, description

  • Amenities — all selected services
  • Schedule Parsing Settings (if configured):
    • Active parser
    • Source type
    • Source URL
    • Facility name from source

Important Notes:

  • Photos are not copied — you need to upload them again
  • Parser toggle state depends on the source parser status:
    • If parsing is not configured → parsing fields are empty, toggle is off
    • If parser config is archived (disabled) → source fields are filled, toggle is off
    • If parsing is active → toggle is on, fields are filled
  1. Change the name and other information if needed
  2. Upload new photos if required
  3. Click Save

The copy will be created as a new facility on the same arena.
