Organization Transactions
Transactions are a detailed journal of all your organization’s financial operations. Here you’ll find every sale, refund, payout, and other financial activity, sorted by time.
What are transactions?
Transactions are individual financial operations that occurred in your organization. Each transaction records:
| Field | Description |
|---|---|
| Date | When the operation was settled |
| Operation type | Sale, refund, payout, or correction |
| Amount | The size of the money flow |
| Currency | The currency of the operation |
| Counterparty | Who conducted the operation (customer, system, etc.) |
| Method | Payment method used in the operation |
Each transaction is an immutable fact of the past. You can view them, but cannot edit or delete them.
Viewing transactions
Where to find transactions
- Open your organization dashboard
- In the left menu, find the Transactions section
- You’ll see a table with all operations
By default, the table is sorted by date, with the oldest operations at the top.
If you are a user of a parent organization, open the child organization and its Transactions section to see its operations.
Table structure
The table displays the following columns:
- Date — when the operation was settled
- Type — kind of operation (colored status: sale, refund, payout, correction)
- Amount — size of the money flow
- Currency — currency code (for example, USD or EUR)
- Counterparty Code — code of the party the operation was conducted with
- Counterparty — name of that party
- Method — payment method used in the operation
- Author Code and Author — who recorded the operation; empty for sales and refunds
- Reason — the reason for the operation; filled in for corrections
Filtering
Filters sit above the table. Use them to narrow the list.
Filter by operation type
Open the Type filter
Click the Type filter above the table.
Select operation types
Check the types you need:
- Sale — income from customers
- Refund — returned money
- Payout — money sent to you
- Correction — corrective adjustments (see Correction below)
Apply filter
Close the list. The table will update to show only the selected types.
Filter by currency
- Open the Currency filter above the table
- Choose one or more currencies
- Close the list. The table will show operations only in the selected currencies
Filter by date
- Open the Date filter above the table
- Pick the start and end dates in the calendar
- The table will show operations settled within the selected dates
Filter by payment method
- Open the Method filter above the table
- Choose one or more payment methods. The list shows the platform codes, for example
bankTransferorgcash - Close the list. The table will show only operations made with the selected methods
Filtering works on the server. This means the entire history is filtered on the backend, not just the visible screen portion. You’ll see the exact count of operations matching your criteria.
Operation types
Sale
Money received from a customer for a service or product. This increases your balance.
Status: typically green ✅
Refund
Money returned to a customer. This decreases your balance.
Status: typically red ❌
Payout
Money sent to your account. This decreases the balance because it’s a realization of part of your balance.
Status: typically blue ℹ️
Correction
A correction (also called an adjustment transaction) is an operation created by a parent organization’s moderator to change the balance of a child organization. It can be positive (adding funds) or negative (debiting funds).
Status: typically purple or gray 🔧
Adding Adjustment Transactions
A moderator of the parent organization can create adjustment transactions for child organizations. This is useful for correcting errors, providing compensation, or manually adjusting a balance.
Who can create adjustment transactions
Adjustment transactions can only be created by:
- A user of the parent organization whose right to edit payments is inherited from it
The child organization can see adjustment transactions in its transaction log, but cannot create or edit them.
How to create an adjustment transaction
Open the “Transactions” section of the child organization
Go to the child organization and open its Transactions section.
Click the “Add transaction” button
Above the table, find the Add transaction button. It is visible only if you have the right to edit payments and this right is inherited from the parent organization.
Fill out the adjustment form
The drawer is titled Corrective adjustment. It has two required fields:
-
Amount — labeled with the organization’s currency, for example “Amount, USD”
- Positive number (for example,
500) = adding funds to the account - Negative number (for example,
-500) = debiting funds from the account - Enter digits with a dot before the decimals, for example
-5.25. Zero is not accepted
- Positive number (for example,
-
Reason — a brief explanation for the adjustment
- For example: “Refund for system error”, “Compensation per request”, “Commission adjustment”
Submit the form
Click Add transaction at the bottom of the drawer. The new adjustment transaction will immediately appear in the table with the type Correction.
If the payment service does not answer, the drawer shows a warning and the button stays disabled. The adjustment may already have been recorded. Reload the page and check the table before you try again.
Adjustment transactions, like all other operations, are immutable. After saving, you won’t be able to edit or delete an adjustment transaction.
Things to consider
- Only for child organizations — adjustment transactions can only be created for child organizations, not your own
- Amount can be of any sign — positive to add funds, negative to debit
- Reason is required — always provide a reason for the adjustment for accounting and audit purposes
FAQ on adjustment transactions
I’m a moderator, but the “Add transaction” button isn’t visible. Why?
Possible reasons:
- Insufficient permissions — make sure your right to edit payments is inherited from a parent organization
- No parent right — the button is shown only when that inherited right exists, so it is not shown in an organization without a parent
- Page not fully loaded — the button also needs the organization’s currency; refresh the page
If the problem persists, contact your system administrator.
I accidentally created an adjustment transaction with the wrong amount. How do I fix it?
Adjustment transactions, like all operations, are immutable. You cannot edit or delete an already created transaction.
To correct the error:
- Create a new adjustment transaction with the opposite amount (if you added +500, create −500)
- In the reason, note: “Compensation for adjustment error from DD.MM.YYYY”
Both transactions will be visible in the history and will compensate for each other.
When should I use adjustment transactions?
Use adjustment transactions for:
- Correcting system errors — if the system calculated an amount incorrectly
- Reimbursing losses — when funds are lost due to technical reasons
- Manual compensation — per customer or management request
- Balance reconciliation — after verification and discovery of discrepancies
For each adjustment, provide a detailed reason in accordance with your company’s policy.
Exporting transactions
You can export transactions to a CSV file for Excel and other spreadsheets, for analysis or tax purposes.
How to export
Apply any needed filters
The export uses the filters you have applied above the table.
Click the Export button
Click Export above the table. A dialog opens and lists the filters the file will use.
Choose the number of rows
Enter how many rows to export, from 1 to 10,000. The default is 1,000.
Confirm the export
Click Export in the dialog. The file downloads to your computer in CSV format.
One file contains at most 1,000 rows, even if you enter a larger number. The rows are sorted oldest first.
If more operations match than the file contains, the dialog shows a warning with the exported and total counts, for example Exported 1000 of 4200 rows.
Frequently asked questions
I see an operation that shouldn’t be there. How do I delete it?
You cannot delete or edit operations. Transactions are an immutable record of facts.
If you find an error:
- Contact support
- Describe the problem and provide the date/amount of the operation
- Support will investigate
Important: corrections for errors in the system may be recorded as a new operation (for example, a “correction” operation).
Why are all my operations not shown in the table?
Possible reasons:
- Filters are enabled — check the Type, Currency, Date, and Method filters
- Loading error — refresh the page
Export provides the operations that match your filters, up to 1,000 rows per export.
How do I distinguish a sale from a refund in the table?
Each operation has:
- Colored status in the “Type” column (green for sale, red for refund)
- Text description of the type (e.g., “Sale”, “Refund”, “Payout”)
- Sign of the amount: sale is typically positive (+), refund is negative (−)
The most reliable way is to look at the “Type” column with color coding.
I see many small operations. Can they be grouped?
The table doesn’t support automatic grouping. If you need a summary:
- Export data to CSV
- Open in Excel
- Use Pivot Tables to group operations
Grouping functionality may be added in the future, but isn’t available now.
What timezone are dates displayed in?
Dates and times are shown in the time zone of your browser or device, in the date format of your interface language. The CSV file uses the same format.
