Notifications

Notifications are messages about important events. They reach you automatically when something important happens with your account, organization, payment, or booking. You see only your own notifications.

What are notifications?

Notifications arrive automatically when important events happen; you see only your own.

Each notification contains:

  • Title — a brief description of the event
  • Text — detailed information about the notification
  • Send date — when you received this notification
  • Read status — whether the notification has been read

What notifications do you receive?

A notification arrives right after the action. You see notifications only for the items you have access to: your account, organization, role, payment, or booking.

Notifications fall into five types. Account security is required: it cannot be turned off and always arrives, because it warns you if someone else tries to access your account. Payments and refunds, Payouts, Organizations, and Bookings can be turned on and off by you. By default, all types are on.

You can manage notification types in the Notifications card on the Profile Settings page. See the section “How to turn a notification type on or off” below.

Sign-in and account

Type: Account security — required, cannot be turned off.

  • New sign-in to your account — the time of sign-in, the location (city and country), the browser, the operating system, and the device. If it wasn’t you, change your password immediately.
  • Failed sign-in attempt — the time, the location (city and country), the IP address (a unique address of your device on the internet), the browser, the operating system, and the device. The sign-in method is not shown. This way you learn if someone tried to sign in to your account. If it wasn’t you, check your account security and change your password.
  • Account temporarily locked — your account was temporarily locked. The notification shows the time of the lock and the reason: several failed sign-in attempts. If it wasn’t you, change your password.
  • Account created — your account has been created, you can sign in and start using the service. No action is required.
  • Password changed — a message that your password has been changed. If it wasn’t you, change your password and contact support.

If some details in a sign-in notification could not be determined, a dash ”—” is shown instead.

Contacts

Type: Account security — required, cannot be turned off.

A separate notification is sent for each contact type. The title shows what changed:

  • Email address — “Email address changed”
  • Phone number — “Phone number changed”
  • Telegram, WhatsApp, Messenger, Instagram — “Telegram contact changed”, “WhatsApp contact changed”, and so on.

If it wasn’t you, change your password and contact support.

Organization and membership

Type: Organizations — can be turned off.

  • New invitation — you were invited to join an organization. The text shows the organization name and the user who sent the invitation. Action needed: accept or decline the invitation.
  • Invitation accepted — sent to people who have permission to change the organization’s security settings. The text shows the organization name and the user who accepted the invitation. It is sent only if the member was invited by another user.
  • Invitation declined — sent to people who have permission to change the organization’s security settings. The text shows the organization name and the user who declined the invitation.
  • Member left the organization — sent to people who have permission to change the organization’s security settings. The text shows the member and the organization name.
  • Removed from organization — you were removed from the organization. The text shows the organization name and the initiator.
  • Organization details updated — the organization’s details have changed. The text shows the organization name and the initiator.
  • Organization archived — sent to all accepted members of the organization, except the person who archived it. The text shows the organization name and the initiator.
  • Plan activated — sent to the person who paid for the plan, once the purchase is confirmed. The text shows the plan and the organization name. No action is needed.

In notifications about removal from an organization, changes to its details or its archiving, and about roles (assignment, revocation, creation, and changes to a role or its permissions), the last line shows the initiator: the name of the user who performed the action. Names of organizations, roles, and plans in the text are shown in quotation marks.

Roles

Type: Organizations — can be turned off.

  • New role assigned — you were given a role. The text shows the role, the organization, and the initiator.
  • Role revoked — a role was removed from you. The text shows the role, the organization, and the initiator.

If you have permission to view the organization’s security settings, you also receive notifications when:

  • New role created
  • Role updated
  • Role permissions changed

Payments and refunds

Type: Payments and refunds — can be turned off.

  • Payment received and Payment failed — sent to the person who made the payment.
  • Refund requested — the buyer requested a refund. Sent to organization staff who have edit rights for the booking matrix. The buyer who requested the refund does not receive this notification. A separate notification is sent for each seller organization that sold slots in this purchase. The text shows the organization name, the amount (that organization’s share of the purchase, not the whole purchase), and the order number. What to do: approve or decline the request.
  • Refund approved — the seller manually approved the refund. Sent to the payer, who sees the full refund amount, and to staff of the seller’s organizations who have view rights for the booking matrix, who see only their organization’s share of the amount. The organization name is not shown in the text. An automatic refund does not create this notification.
  • Refund request declined — the seller declined your refund request. The text shows the amount and the order number. Sent to the buyer.
  • Refund completed — the money has been returned. Sent to the buyer.
  • Automatic refund issued — the system returned the payment automatically. Sent to the buyer.

Payouts

Type: Payouts — can be turned off.

The notifications “Payout in progress”, “Payout completed”, and “Payout failed” show the organization name and the amount with currency. The “Payout method deactivated” notification shows the organization name and the payout method; it does not include an amount.

  • Payout in progress — a payout to the organization has been accepted for processing. No action is needed.
  • Payout completed — the payout to the organization succeeded.
  • Payout failed — the payout could not be completed. Check the payout method and request the payout again.
  • Payout method deactivated — sent to people who have access to the organization’s payments.

Slot bookings

Type: Bookings — can be turned off.

Booking notifications are sent to you as a buyer and to organization staff who have access to the booking matrix:

  • Slot on hold — you booked a slot, and it is waiting for payment.
  • Slot hold released — the booking was cancelled.
  • Slot paid — the payment went through.
  • Slot return requested — a return of the slot has been requested; the request is awaiting a decision.
  • Slot returned — the slot return is complete, and the slot is available again.
  • Slot return declined — the return was declined.
  • Slot changes — a staff member of the organization changed the schedule or slots. Each change to an individual slot comes with its own notification, instead of one general notification with the number of slots. Each notification shows the venue name (in quotation marks), the slot’s date and time, what changed, and the initiator — the staff member of the organization who made the change:
    • Slot added — a new slot appeared in the schedule.
    • Slot price changed — shows the previous and the new price and the currency. For notifications received before the update, the currency may show as ”—”; in new notifications, the currency is shown.
    • Slot end time changed — shows the previous and the new end time.
    • Slot comment changed — the comment has been changed. The comment text is in the venue’s schedule.
    • Slot holder changed — the holder of the slot was changed.
    • Slot status: available, Slot status: booked, Slot status: paid, or Slot status: closed — the status of the slot changed.

Sent only to organization staff who have view rights for the booking matrix; the buyer does not receive this notification. If nothing changed in a slot, no notification is created. Notifications arrive right after the schedule is saved. If saving several venues was interrupted, notifications will still arrive for the venues that were saved before the interruption.

How to turn a notification type on or off

You manage types in the Notifications card on the Profile Settings page. Detailed instructions are in the Notifications section of the Profile Settings page.

Bell icon in the header

While you are signed in, a bell icon appears in the header of every portal app. The number on the bell shows how many unread notifications you have:

  • Up to 99 — the exact number of unread notifications.
  • “99+” — 100 or more unread notifications.
  • No number — you have no unread notifications.

The number updates by itself about once a minute while the tab is open and on screen. If the tab was in the background, the number may take up to a minute to update after you return. If the connection to the server drops briefly, the bell keeps the last number and tries again a minute later, without showing an error message.

On the Notifications page, the number also updates by itself about once a minute. It is the same number as on the bell.

Click the bell to open a short list of your latest unread notifications (up to 5). The list and the number are re-read each time you open it, so they match. Opening the list does not mark anything as read.

  • Click a notification in the list to see its full text. It becomes read and disappears from this short list, and the counter and the Notifications section are updated together.
  • While the window with the full text is open, the list stays open. When you close the window, the list closes too, and focus returns to the bell icon.
  • The “View All Notifications” link opens this section.
  • Press Esc or Tab to close the list.

If there are no unread notifications, the list shows “No new notifications”. If the list fails to load, you’ll see “Failed to load notifications” and a “Try again” button.

Notifications of types you have turned off are not shown in the list and are not counted.

The bell works on a phone too, and it uses your interface language. The Notifications item in the profile menu still opens this section; it has no counter — the only indicator is the bell.

How to view your notifications?

Open the Messages menu and select Notifications.

Requirements to access

To view your notifications, you must:

  1. Be a registered user of the system
  2. Be logged in to the system (have an active session)

If you’ve logged out or your session has expired, you need to log in again.

How are they displayed?

Notifications are shown as a list:

  • Newest to oldest — the most recent notifications appear at the top of the list
  • 25 at a time — the 25 latest notifications load first. To see older ones, click “Show more” at the bottom of the list
  • Unread counter — the card header shows how many unread notifications you have. The count covers all your notifications, not only the ones loaded on the screen
  • Turned-off types — notifications of types you have turned off are not shown and are not counted as unread
  • Updates — the list does not refresh by itself. When you return to the page, it loads again from the first page: new notifications appear, notifications of turned-off types disappear, and batches loaded with “Show more” are reset to the first 25. To see a notification that arrived while the page was open, or after the connection dropped, return to the page

If the next batch fails to load, you’ll see the message “Could not load more notifications.” above the “Show more” button. The list you already loaded stays on the screen. To try again, click “Show more”.

If you have no notifications yet, you’ll see “No notifications yet” with the note: “Updates about your account, payments, bookings and organizations will appear here.”

If the list fails to load when you open the page, you’ll see “Could not load notifications.” and a “Try Again” button. While it retries, a loading indicator is shown.

The page also works on a phone: the list fits the screen width, and no horizontal scrolling is needed.

Information in each notification

In the list, the title and the text of a notification are shown on one line. Long text is cut off.

Each notification displays:

ElementDescription
TitleBrief name of the event. For an unread notification, the title is bold
TextDetailed information about the notification
Send dateWhen you received this notification. The date is shown in your interface language format
HighlightAn unread notification has a semi-transparent colored background and a “New” label on the right. A read notification has no background

When you move the mouse over a notification, its row is highlighted: a neutral highlight for read notifications and a stronger one for unread notifications. To see a notification in full, click it (see “How to mark notifications as read?”).

If an older notification can no longer show the amount, currency, organization name, or initiator name, a dash ”—” is shown in its place.

How to mark notifications as read?

Notifications become read only after your action. Opening the page and scrolling the list do not mark anything as read.

After a mark, the list and the counter are re-read from the server. The batches you have already loaded stay in place: their contents and order do not change, but the read status comes from the server. While a mark or a re-read is in progress, the rows of the list, the “Show more” button, and “Mark all as read” are unavailable. While the next page loads, the rows and “Mark all as read” are unavailable, and “Show more” shows a loading indicator.

One notification

Click a notification to open it. A window opens with the full title, the full text, and the date.

  • If the notification was unread, it becomes read when you open it: the bold title, the background, and the “New” label disappear.
  • Opening an already read notification changes nothing.
  • Close the window with the “Close” button (the cross icon) or the Esc key.

To go to the item the notification is about (an order, a booking, and so on), use the “Go to page” button in this window (see the “Go to page” button section below).

If marking fails, an error pop-up appears. The window stays open and does not change, and the notification stays unread.

All at once: “Mark all as read”

The button is available while the counter shows unread notifications. It is unavailable while a mark or a re-read is in progress, or while the next page loads.

The button marks as read all notifications up to and including the newest of the loaded (shown) ones, plus all older ones. So:

  • older notifications that are not loaded yet (with “Show more”) will also become read, even if you have not seen them;
  • notifications that arrive later will stay unread. This cannot be undone: a notification cannot be made unread again. To mark only what you see, mark notifications one by one.

Notifications of turned-off types are not shown, so they cannot be marked by either method: “Mark all as read” does not affect them.

“Go to page” button

If the event has a page where you can deal with it, a “Go to page” button appears in the notification window under the text. Click it to open that page right away. If there is nowhere to go, no button appears, and the notification is simply read, as before.

The button is in the full-text window, which opens both from the bell and from the Notifications page.

Open the notification

Click the notification in the bell list in the header or on the Notifications page.

Click “Go to page”

The button appears under the text if the event has a page.

Account createdNo button

If you no longer have access to the page (for example, you were removed from the organization), the organization page shows an access denied message.

  • If the current page has unsaved changes, a confirmation appears before you leave. If you cancel, you stay on the page and the notification stays open.
  • Opening an organization page again reloads it.
  • The button is briefly unavailable while the notification is being marked as read.

Why doesn’t my notification have a “Go to page” button?

The button appears only where there is a page to deal with the event. For example, the “Account created” notification has no button: it just reads as usual.

Who creates notifications?

The platform itself creates notifications automatically right after an important event: your action, another member’s action, or a change in an organization. You cannot create notifications yourself. One event can produce notifications for several people, and each person sees only their own.

Frequently Asked Questions

Why can’t I see my notifications?

Possible reasons:

  • You are not logged in to the system. Try to log in again.
  • You don’t have any notifications yet. In this case, the list will be empty.
  • Your session has expired. Refresh the page or log in again.
  • The list did not load. Click “Try Again”.
  • A notification arrived while the page was open, or the connection dropped. Return to the page: the list will load again.

Can I see all my notifications in the list?

Yes, you can see all your notifications except those of turned-off types. They are not deleted and will reappear when the type is turned back on. You can navigate between pages to view older notifications.

How can I see how many unread notifications I have?

You can see the count of your unread notifications. This count is calculated for all your notifications regardless of which page you’re viewing.

Can I mark all notifications as read at once?

Yes, the “Mark all as read” button marks notifications up to and including the newest of the loaded ones, plus all older ones. See “How to mark notifications as read?” for the details and consequences. This cannot be undone.

Why is the “Mark all as read” button disabled?

The button is available while the counter shows unread notifications. It is unavailable while a mark or a re-read is in progress, or while the next page loads.

Can I make a notification unread again?

No. Marking a notification as read cannot be undone.

Can I turn off account security notifications?

No. Account security notifications are required: they warn you if someone tries to sign in to your account, and they always arrive. You can turn off the other types, including Payments and refunds and Payouts, in the Notifications card on the Profile Settings page.

Where did my organization’s notifications go?

Organization notifications belong to the Organizations, Payments and refunds, Payouts, and Bookings types. If one of these types is turned off in Profile Settings, its notifications are not shown in the list and are not counted as unread. They are not deleted: turn the type back on in the Notifications card, and the notifications will appear again.

Will hidden notifications come back if I turn the type on again?

Yes. After you turn the type back on, all of its notifications reappear in the list and in the unread count. Notifications you already read stay read, and unread ones are counted again.

What does “99+” on the bell mean?

You have 100 or more unread notifications. The exact number is shown in the header of the Notifications section.
